Offices and time zones

Each office keeps its own clock.

Add each branch on Settings, then Company, then Offices, with a name, its time zone if it is in another one, and a payroll code if its people are paid under their own ADP company code or Paychex client ID.

  • Typed start and end times count in the job's office time zone, else the person's office, else the company's.
  • A typed night shift on the night the clocks change pays the hours really worked.
  • Reminders go out on each person's office time.
  • Turn off an office you no longer use. It can only be deleted when no people or jobs belong to it.

The Office menu

See one office at a time.

Once two or more offices are on, admins pick each person's office on Team, then Users, and each job's office on the job. The Office menu then narrows the Dashboard, Jobs, Schedule, Timeline, Approvals, Time Off, Timecards, Reports and Payroll Export to one office.

  • DayReport remembers the office you picked.
  • A crew can still be scheduled on another office's job.
  • Turned-off offices stay in the menu, so their older records and approvals are still easy to reach.
Payroll by office

Each office's payroll file uses its own code.

On Payroll Export, pick one office and download its file. An ADP RUN or Paychex Flex file uses that office's payroll code, and an office without one uses the company's.

  • The file lists that office's people with all their hours, including work on other offices' jobs.
  • Overtime is figured on each person's whole workweek, from your pay rules.
  • Payroll codes stay hidden from technicians and foremen.

Does each office need its own subscription?

No. Offices are part of one company with one subscription. You pay $19 per technician per month across every office, and admins and office staff stay free.

Can a tech from one office work another office's job?

Yes. A crew can be scheduled on any office's job. Typed start and end times on that job count in the job's office time zone, and the person stays on their own office's payroll.

Which time zone do typed hours use?

Does picking an office limit what someone can see?

No. The Office menu narrows the page you are looking at and remembers your choice, but it is not a permission. What each person can see still comes from their role.

How does payroll work with more than one office?

Payroll Export can show one office at a time. An ADP RUN or Paychex Flex file for one office uses that office's payroll code, and lists that office's people with all their hours, so overtime is figured on their whole week.
